Terms of Trade

A fair and practical way of working with our suppliers.

Introduction 

At Easy Gourmet, good supplier relationships are essential to what we do. Many of our suppliers have worked with us for a number of years, and we value the trust and understanding that come with those long-term partnerships. 

We want our suppliers to be treated fairly, paid on time and to have a clear understanding of what we expect from them – just as we expect open communication, good quality and reliable service in return. 

These terms set out the practical principles that guide our relationships with third-party suppliers. Individual arrangements may vary and will be agreed directly with each supplier. 

Pricing and Ordering 

Prices are agreed with our suppliers before purchasing. We believe in paying a fair price for good-quality produce and services, and we do not expect suppliers to compromise on quality simply to achieve the lowest possible price. 

Orders will clearly set out the products or services, quantities and quality required. Where appropriate, specifications, provenance or sustainability requirements will also be agreed. Any minimum quantities or volumes will only apply where they have been specifically agreed with the supplier. 

Payment 

Payment terms are agreed with each supplier, and Easy Gourmet aims to pay invoices within those agreed terms. If there is a query with an invoice, we will raise it promptly and work with the supplier to resolve it without unnecessary delay. 

Deliveries 

Delivery days, times and requirements are agreed with our suppliers according to the needs of our kitchen and events. If our requirements change, we aim to give as much notice as reasonably possible. We ask suppliers to tell us promptly about any delay, shortage or proposed substitution that could affect an order. 

Communication 

We believe in picking up the phone and talking to our suppliers. We maintain regular, open communication about availability, seasonality, quality, pricing, deliveries and any changes that may affect either business. 

When Something Goes Wrong 

If there is an issue with quality, delivery, pricing or an invoice, we will raise it directly with the supplier and give them a reasonable opportunity to put it right. Likewise, we expect suppliers to raise concerns with us openly. 

Our aim is always to find a fair and practical solution. If an issue cannot be resolved straight away, it will be referred to an appropriate senior contact in each business. We will agree the action needed and a reasonable timeframe, keeping a clear record where appropriate. 

Long-Term Relationships 

Wherever possible, we prefer to build relationships that can continue over many years rather than continually changing suppliers based purely on price. We value suppliers who understand our business, our standards and the quality our clients expect. 

We also want to work with suppliers who can support our commitment to seasonal British produce, responsible sourcing, reduced waste and more sustainable food choices. We welcome practical ideas that can help both businesses improve. 

Human Rights & Fair Employment 

We expect everyone within our supply chain to be treated fairly and with respect. 

Our suppliers are expected to comply with applicable employment and human rights legislation and not to use forced labour, modern slavery, human trafficking or child labour within their business or supply chain. 

We encourage suppliers to work with businesses that provide safe working conditions, fair treatment and appropriate employment practices throughout the supply chain, including where products can be traced back to farmers, growers, producers or fishers. 

If we become aware of serious concerns about working conditions or human rights, we will raise them with the supplier and expect appropriate action to be taken. 

This section sets out our expectations of suppliers. Any formal employment standards applying specifically at farmer or fisher level will only be treated as agreed where they have been separately confirmed and evidenced. 

Our Commitment 

Quite simply, we expect our suppliers to treat Easy Gourmet fairly, and we believe they should expect exactly the same from us.
